Privacy Policy
How PET Group of Companies collects, uses, discloses, stores and protects customer and employee information.
This is the PET Group of Companies (“PET”, “we”, “our”) Privacy Policy. Trudence HR Pte Ltd is registered in Singapore under company number 200705808H. Our Data Protection Officer can be contacted at dpo@pet-hr.com.
PET collects, uses and discloses Customer Data to provide safe, efficient and customised payroll and HR services. By continuing to use PET’s services, you acknowledge that you have read and understood this policy.
1. Information we collect
The Customer Data PET collects depends on the services requested and the nature of the transaction. It may include:
- identification information such as name, gender, date of birth, nationality and identification number;
- contact information such as postal address, telephone number and email address;
- employment information such as position, job grade, start date and end date;
- banking information needed for salary crediting;
- claims, leave, training, benefits and related HR information;
- salary, allowances, deductions, statutory contributions and tax information; and
- technical information such as IP address, device identifiers, browser, operating system, time zone and cookies when our online services are used.
Some data, including race, ethnicity, religion or health information, may be sensitive personal data. PET seeks to limit collection to circumstances where it is required for employment administration, statistical reporting required by an employer, or legal compliance.
2. How information is collected
PET may collect Customer Data directly from an individual, from an authorised representative such as the employer’s HR team, from statutory bodies or financial institutions, and through PET websites, mobile services or support channels. A person providing data on behalf of someone else must be authorised to do so.
3. Why information is required
Specified employee, contact and banking details may be mandatory for PET to provide contracted payroll and HR services. Additional information may be required by an employer’s policies or by applicable law. If mandatory information is not provided, PET may be unable to provide the relevant service.
4. How we use Customer Data
In accordance with PET’s service agreement with an employer, Customer Data may be used to:
- process employment-related transactions and payroll;
- calculate and administer salary, statutory payments, claims, leave, training and other HR information;
- provide and maintain online services;
- respond to enquiries, requests or feedback;
- send service communications, reminders or workflow notifications;
- troubleshoot, test, secure and improve PET systems and services;
- enforce applicable terms, conditions and policies; and
- create anonymised and aggregated statistics for service analysis.
PET does not sell employee or customer data. PET does not use payroll and HR data held on behalf of an employer for unrelated marketing.
5. Disclosure of Customer Data
PET may disclose Customer Data to the individual’s employer, to authorised PET group companies, and to selected third parties where necessary to provide the service. These parties may include banks and financial institutions for salary payments, government agencies and statutory bodies, professional advisers, service providers, and law-enforcement or regulatory authorities where required by law.
PET may also disclose information in connection with a corporate transaction or where reasonably necessary to protect legal rights, prevent fraud, address security issues or protect a person’s health or safety.
6. International transfers
PET’s operations and data-storage arrangements may require information to be transferred to and stored in Singapore, Malaysia and the United States. Where information is transferred internationally, PET will take steps required by applicable law to maintain an appropriate standard of protection.
7. Your rights
Non-EU data subjects
Depending on applicable law, you may have rights to request access to personal data PET holds about you and to request correction of inaccurate information. A reasonable administrative fee may be charged where permitted by law, and lawful exceptions may apply.
EU data subjects
Where the General Data Protection Regulation applies, rights may include access, portability, rectification, erasure, restriction of processing and objection. PET may require proof of identity and address before responding, and some rights apply only in defined circumstances. Requests may be made through your employer’s HR department.
8. Retention
PET retains Customer Data for as long as necessary for the purpose for which it was collected, PET’s legal or business purposes, or applicable legal requirements. Payroll and HR records may generally be retained for up to seven years so contractual, statutory and dispute-resolution needs can be addressed.
9. Accuracy
Please keep your Customer Data current, complete and accurate by informing your employer’s HR department when your information changes.
10. Security safeguards
PET takes the protection of Customer Data seriously and uses administrative, physical and technical safeguards. No method of internet transmission or electronic storage is completely secure; users should also protect their credentials and devices.
11. Other websites
Links to other websites are provided for convenience. Those websites have their own privacy policies, and PET is not responsible for their content, security or data practices.
12. Minors
PET’s website is not directed at children under 16. A parent or guardian who believes a minor has provided Customer Data without appropriate consent should contact PET to request removal.
13. Updates
PET may amend this Privacy Policy from time to time. Updated versions will be posted on PET’s website and date-stamped. Subject to applicable law, the English version prevails over translations.
